The link between the warehouse and the partner
Planning is essentially a connecting role. Planners are in close contact with the operational teams in the warehouses and with Customer Service. Together, they ensure that every transport order is scheduled as realistically and cost-effectively as possible.
Remo: “You could say we are middlemen. Everything has to run as smoothly as possible, which is why we examine every step in the process very carefully. If the preparation isn’t right, you’ll see it immediately further down the chain. Within the team, there are different roles: for example, the focus in pre-planning is more on preparing trips, while other teams have more direct contact with drivers and monitor the routes.”
From follow-up to planning ahead
The workday usually starts with a review of the previous day’s events. Open questions and issues are followed up on and resolved.
Remo: “For example, if a truck isn’t at its scheduled destination, we have to sort that out first. At that point, we ensure that the schedule isn’t disrupted and look ahead so we can guarantee smooth progress.
“In the morning, we spend our time on follow-up and adjustments. Afterward, the focus shifts to the actual planning work: efficiently scheduling trips based on available orders. We also answer calls from drivers and/or loading sites. We need to help those people quickly and correctly as well.”
“In addition to pre-planning, which is my job, there are also colleagues who monitor trips in real time and make adjustments as needed. Together, they ensure that shipments reach their destination despite unexpected situations.”
Dynamic environment
Remo: “No two days are the same. Customers change orders, circumstances shift, and unexpected situations arise. It’s a fast-paced environment; you have to be able to adapt quickly to find solutions. That’s why our coordination with Team Managers and other stakeholders is crucial to ensuring all processes are optimally aligned.”
What makes a good planner?
Remo: “Stress resilience, structure, logical insight, and knowledge. You definitely have to be able to handle pressure and be willing to keep learning. The biggest challenge in the job is the pace and meeting deadlines. Often, it comes down to keeping a cool head and maintaining an overview.”
